Before you start

• A domain already added to the panel and MX records you can edit.
• A reverse DNS (PTR) record for your server IP matching the mail hostname.
• Mail ports open in the firewall (25, 465/587, 993) — and note that port 25 hygiene matters for reputation.

Step-by-step guide

1. Create the mailbox: cPanel Email → Email Accounts → Create; HestiaCP MAIL → Add Mail Domain, then Add Mail Account; CyberPanel Email → Create Email; CWP Email → Mailboxes.
2. Set DNS: MX to your mail hostname, SPF TXT record, DKIM (the panel generates the key) and a DMARC policy.
3. Set the PTR record for the server IP to the same mail hostname.
4. Connect a client via IMAP (993) / SMTP (465 or 587) or use the bundled webmail (Roundcube/SnappyMail in most panels).
5. Send test mails to Gmail/Outlook accounts and check the headers for SPF/DKIM/DMARC passes.

Common issues

• Mail goes to spam: missing PTR/SPF/DKIM/DMARC or a fresh IP with no reputation — fix DNS first, warm up volume slowly.
• Cannot send at all: outbound port 25 issues or the client using the wrong SMTP port — try 587 with STARTTLS.
• CloudPanel users: no mailboxes by design — use an external mail provider and keep only sending (via SMTP relay) on the server.
• Catch-all mailboxes: convenient but attract spam — prefer explicit addresses.
