Quick answer: Panels with a built-in mail server — cPanel (Email Accounts), HestiaCP (MAIL), CyberPanel (Email → Create Email) and Control Web Panel — let you create mailboxes per domain in a couple of clicks. CloudPanel has no mail server by design — pair it with an external provider. Deliverability then depends on PTR, SPF, DKIM and DMARC, not the panel.

Overview

Hosting mail on your own VPS is possible but demanding: creating the mailbox is the easy 10%; the hard 90% is making major providers accept your mail. Before relying on self-hosted mail for business, weigh a dedicated email service — see the caveats below.

Before you start

  • A domain already added to the panel and MX records you can edit.
  • A reverse DNS (PTR) record for your server IP matching the mail hostname.
  • Mail ports open in the firewall (25, 465/587, 993) — and note that port 25 hygiene matters for reputation.

Step-by-step guide

  1. Create the mailbox: cPanel Email → Email Accounts → Create; HestiaCP MAIL → Add Mail Domain, then Add Mail Account; CyberPanel Email → Create Email; CWP Email → Mailboxes.
  2. Set DNS: MX to your mail hostname, SPF TXT record, DKIM (the panel generates the key) and a DMARC policy.
  3. Set the PTR record for the server IP to the same mail hostname.
  4. Connect a client via IMAP (993) / SMTP (465 or 587) or use the bundled webmail (Roundcube/SnappyMail in most panels).
  5. Send test mails to Gmail/Outlook accounts and check the headers for SPF/DKIM/DMARC passes.

Common issues

  • Mail goes to spam: missing PTR/SPF/DKIM/DMARC or a fresh IP with no reputation — fix DNS first, warm up volume slowly.
  • Cannot send at all: outbound port 25 issues or the client using the wrong SMTP port — try 587 with STARTTLS.
  • CloudPanel users: no mailboxes by design — use an external mail provider and keep only sending (via SMTP relay) on the server.
  • Catch-all mailboxes: convenient but attract spam — prefer explicit addresses.

When to contact support

Ask us via ticket to set the PTR record for your IP, or if outbound SMTP appears blocked at the network level. Mailbox/app-level configuration on an unmanaged server is on the customer side.

Frequently asked questions

Which panels include a mail server?

cPanel, HestiaCP, CyberPanel and Control Web Panel ship a full mail stack with webmail. CloudPanel deliberately has none — pair it with an external email provider instead.

Why does my server's mail go to spam?

Usually missing reverse DNS (PTR), SPF, DKIM or DMARC records, or a brand-new IP without reputation. Set all four DNS pieces first and increase sending volume gradually.

Is self-hosting email on a VPS a good idea?

It works, but deliverability maintenance is ongoing: DNS records, blacklist monitoring, updates. For business-critical mail a dedicated email service is usually less hassle.
